If you have a system that uses initials to identify people then being able to extract initials from a first name and last name combination can be handy. A formula can automate the process and there is also a quick, manual way to do it.

In July 2019 following on from the response and feedback from my June webinar, I covered more financial functions. These are more related to comparing and analysing cash flows. I have also included a couple of requested schedules.
This session will cover the following functions
- NPV – Net Present Value of regular cashflows (learn to trick to using it correctly)
- XNPV – Net Present Value of irregular cashflows
- IRR – Internal Rate of Return of regular periodic cashflows
- XIRR – Internal Rate of Return of irregular periodic cashflows
- Discounted Payback period schedule
- Flexible Loan schedule – handles lump sum payments
As with all my sessions, I will throw in a few other shortcuts along the way.
Handling Exceptions in Excel
Two ways to consider
When developing budgets and financial models you may need the same rate/value (say debtor days) for 10 months of the year but need to adjust it for 2 months. It is usually December and January as they tend to be a little different due to the Christmas / New Year period. Here’s a couple of ways to handle exceptions in Excel.

Unfortunately Excel doesn’t have an ISDATE function. Excel’s macro language, VBA does, but there is no spreadsheet function that let’s you know if a cell contains a date. Well there is a partial workaround and you can also use VBA.

Many of Excel’s functions have default arguments. What are arguments? Arguments are the sections within a function that you separate with commas and some of these arguments are optional.

These functions take three or more arguments, but there are a few things you need to know to use them correctly. Most involve loans or calculations associated with the time value of money.
This session covered the following six functions
- PV – Present Value of future regular cash outflow
- PMT – periodic loan repayment calculation
- CUMIPMT – cumulative interest – great for loan schedules
- RATE – interest rate
- FV – future value of regular investment
- NPER – number of periods
The session finishes with a loan model that calculates the “missing” value for a loan scenario based on two out of three inputs. The IFERROR function is also discussed.

Excel, Subtraction and Accuracy
Binary takes a byte
It’s not mentioned a lot, but some of Excel’s subtraction calculations are not exact. When you look at them at 15 decimal points they are slightly out. Most times this make no measurable difference to the result. But sometimes when you round, it does.

Allocate based on start date and number of months
EDATE to the rescue
Let’s say you want to allocate a value across multiple months based on a start date and how many months you want to allocate. The monthly allocation will be averaged based on the number of months. The solution isn’t that hard.

Excel Formula Week Starting with a Monday
The WEEKDAY function has options
Let’s say you have a weekly roster. You have a date and you need to identify the Monday start date for the week that contains that date. The formula is fairly easy.

An absolutely simple function to the rescue
I recently received an unusual request about sorting. They wanted to sort in ascending order but they wanted to ignore the sign of the values. So -44 would be next to 44.
Counting Entries in Excel

Excel has a few counting functions. But when it comes to counting entries in a cell it can be difficult if you are using formulas that return a blank cell. This is where the SUMPRODUCT function can come to the rescue.

Let’s assume you have a large table that you are filtering. Based on the current filter you want to work out the earliest date and the latest date. You may be surprised to learn the SUBTOTAL function can help you.

Malcolm Gladwell’s book Outliers is a great read – I reviewed it here. Its premise is that some outliers (events that are far outside “normal” expectations) have causes and hence are worthy of investigation. Excel have some functions that can help identify outliers in your data.

Recently a client wanted help in summarising a large data list of employees. They wanted to identify the years of service in terms of 5, 10, 15 years and other milestone years based on a start date.
